Our policies help define the rules, regulations and procedures for all aspects of day to day life at our out of school club.
All of these are necessary to help our club run smoothly and safely and ensure that the children receive a quality of care.

4.15 ADMISSIONS POLICY
Parents must fill out in full a registration form for each child and then fill out a places form outlining which days they would like their child/ren to attend after school club. Once a parent/guardian has booked their place they can only cancel this place in full writing. If a place is not cancelled correctly, the club will assume parents/guardians still require the space and will still be charged for that space.
The same applies for holiday club. If a booking form is filled out and returned to BeeKeepers, that place is none refundable (some cases might be exceptional).
When a family first registers at the club, we will offer them a free taster session where they are welcome to look around the premises and facilities we have at Beekeepers. We will also provide a starter pack for the family to complete at home, so that we can get to know their child/ren more.
If a child has an additional need (food allergy, Special Education Need etc) we will ask parents to complete a health care plan (more information in the Health and Safety Policy).
7.4 FEES AND PAYMENTS POLICY
At the beginning of each month parents/guardians will receive an invoice for that month. They have until the end of the month to pay in full. If a parent is struggling to pay they must speak to the Manager who will confide in the VMC for advice. It may be that a payment plan is put in place to help the parents/guardians out. The Manager will also look for funding available to the club to help parents/guardians that are in a difficult situation financially. Any agreement of a payment plan must be put in writing and signed by the Manager, Parent/Guardian and Chair of the Committee.
Any last minute cancellations will still have to be paid for in full. If places are no longer required at BeeKeepers this must be given in full writing to the Manager, so that these spaces can become available to anyone on the waiting list.
Parents/Guardians can pay by; Cash, Cheque, Voucher or Direct Debit.
3.11 STATEMENT ON THE USE OF MEDIA
Mobile Phones and Cameras:
We recognise that our staff will have mobile phones; however during your normal working hours at the club, it is not permitted to use your mobile phone or camera. Such mobile phones should be kept in the kitchen or store room, with your personal belongings and are not permitted to be used during working hours.
Staff can use the Club telephone number for emergency contact only. Staff can use their mobile phones on breaks in staff restricted areas.
Children are not permitted to have a mobile phone (or electronic device containing a camera) at any time in the club. If a child does have a mobile phone, they must declare it and it will be confiscated and placed in the kitchen for safe keeping. Devices will be returned at the end of the session. If parents require their child to bring a mobile phone for a specific requirement, please inform a member of management.
Parents/carers are also requested to refrain from using their mobile phones in the club.
The club has a mobile phone that will be used by staff during the session. This remains in the club apart from pick up from school and excursions.
Photographs
Playworkers support children’s development and engage parents in children’s play and learning by using photographs that record their activities and achievement. Staff must not, under any circumstances, take any pictures of any children with a camera or mobile phone camera unless permission has been granted by the parent. Permission from the parent must be received regarding the taking of pictures of any child. This permission can be found on children’s registration forms in the administrations cabinet.
Children will be photographed for:
• Observation purposes (in terms of EYFS)
• Publicity purposes, e.g website and leaflets.
• Scrapbook of our times at Beekeepers
The club uses a camera as part of a recording process to enable staff to observe children’s development and capture any special significant moments. All staff may take photographs, but only the designated person can take the memory card off site. The designated members of staff to hold the memory card is Katie Waring.
The camera or memory stick may be taken away from the setting by the designated staff members. In this case the designated staff member must sign out the memory card and sign it back in upon return with the photographs. This form can be found in the risk assessment folder.
Staff will not bring personal cameras into the club, the club has its own camera available for use which is stored safely and securely.
Devices with a camera are not allowed onsite. Children that bring devices will be asked to hand them over to staff who will turn it off, and keep in the kitchen safe.
